*A counselling hour consists of 50 minutes of face-to-face time between clients and their counsellors, and 10 minutes allotted for paperwork and case management. This is in keeping with standard professional practice in the field.

We make payment as easy as possible, and are happy to take debit, or credit cards for payment (Visa, MasterCard, American Express).

Fee Policy: The full fee for each appointment is due and payable at the time of service. Third parties who pay for appointments are asked to send payment with the client at the time of service, create a credit with us ahead of time, or leave a credit card on file to be used for payment processing.

Billing Policy: Our policy is to bill for our time when working on client related activities. We are happy to connect with other involved parties for our clients (parents of children, doctors, insurers, etc.), and this time will be billed at our standard hourly rate, in 15 minute increments.

Cancellation Policy: Your appointment time is reserved just for you. A late cancellation or missed visit leaves a hole in the professional’s day that could have been filled by another client. As such, we require notice of 2 business days for any cancellations or changes to your appointment. Clients who provide less than 2 full business days’ notice, or miss their appointment, will be charged the full fee for their session. This ensures fairness to our professionals, as well as to our clients who are wanting to come in for appointments.

COVID-19 Update: Please note: during COVID-19, we will not charge for cancellations due to illness. In turn, we ask clients to give us as much notice as possible so we can fill the slot with someone on our lengthy cancellation and waiting list. At this point in COVID-19, any symptoms should be presumed to be COVID-19 and as such, clients are required to cancel their appointment if they are experiencing any symptoms whatsoever. Clients who come to an in person appointment with symptoms will be sent home and charged the full fee for the appointment. No exceptions. This is our best effort to keep everyone safe and healthy. Third Party Billing: In the event we are billing a third party for your services, we are unable to retroactively bill for previous sessions. Alongside You must receive confirmation of the billing agreement and coverage prior to providing services and billing any third party. If a client would like to start services before confirmation is received, the client is solely responsible for the charges for these services and must pay privately.

Sliding Scale Reduced Fees

At Alongside You, we understand that finances can be challenging and not everyone has Extended Health Plan coverage. Sliding scale reduced fees are available on a limited basis, and are based on the needs of the client. We strive to make sure that fees are not a barrier to people receiving help. Please contact us to enquire about this service as decisions are made on an individual, and situation-specific basis.

Extended Health Insurance Coverage

We endeavour to support those we serve in accessing Extended Health Insurance coverage for our services. As there are many insurance companies, each with their own specific policies, procedures, and coverages, we ask our clients to pay for our services at the time of provision and we will provide an invoice that may be submitted for reimbursement. Please note that we cannot confirm whether you are covered for services, only your insurance carrier can do this. We recommend that you contact your insurance provider prior to accessing our services to confirm coverage if your participation in our clinic depends on it. Each of our clinicians’ professional designations are available on their profiles on our website and we recommend you call your insurance company and ask about their specific designation and your insurance coverage.

For Registered Massage Therapy, we are able to direct-bill many insurance companies. If you would like us to direct-bill your insurance for massager therapy, please contact us to inquire if we are able to do so.

Non-Profits, Churches, and other Community Agencies

We wish to support community organizations and their endeavors to help their staff and the people they serve stay healthy. We may offer reduced rates to these agencies when they are paying the fees for the people they refer. Please contact us for further details.
